Sponsorship and Donation Terms & Conditions

These terms outline the general principles, requirements, and responsibilities for any sponsor, donor, contributor, partner, individual, company, organisation, or entity that wishes to support, sponsor, donate to, or collaborate with IAA.

1. Status of the Association

The IISSA Alumni Association (IAA) is a non-profit organisation established to support alumni engagement, school-related initiatives, community programmes, educational activities, welfare efforts, and charitable initiatives.

All sponsorships, donations, and contributions received by IAA shall be used to support approved activities, programmes, events, welfare efforts, community initiatives, educational support, or any other purpose approved by the association.

IAA does not operate for personal profit. Any funds, goods, services, or contributions received shall be managed for the benefit of the association's approved objectives and activities.

2. Compliance with Association Rules and Regulations

All sponsors, donors, and contributors agree to respect and comply with:

  1. The constitution, regulations, policies, and internal guidelines of the IISSA Alumni Association;
  2. The rules and requirements set by the event organiser, venue, school, or relevant authority;
  3. Applicable Malaysian laws, regulations, and public policies;
  4. Any additional conditions issued by IAA from time to time.

IAA reserves the right to reject, suspend, or terminate any sponsorship, donation, or contribution arrangement that conflicts with the objectives, values, rules, or regulations of the association.

3. Sponsorship and Donation Eligibility

IAA welcomes sponsorships and donations from individuals, businesses, companies, organisations, and institutions whose activities, products, services, and public image are suitable for association with IAA, the school community, students, alumni, parents, and the wider public.

IAA reserves the right to decline any sponsorship, donation, or contribution from sponsors or donors whose business, branding, products, services, activities, or public reputation may be considered unsuitable, inappropriate, unethical, harmful, or inconsistent with the values of the association.

4. Prohibited Sponsorship and Donation Categories

IAA does not accept sponsorships, donations, promotions, branding, or collaborations involving products, services, businesses, campaigns, or activities related to:

  1. Alcoholic beverages or alcohol-related branding;
  2. Gambling, betting, lottery, or casino-related activities;
  3. Tobacco, vaping, cigarettes, nicotine products, or related branding;
  4. Drugs, controlled substances, or illegal products;
  5. Adult entertainment, sexually explicit content, or inappropriate material;
  6. Weapons, violent content, or harmful activities;
  7. Any product, service, campaign, or organisation that may be considered offensive, discriminatory, misleading, unlawful, unethical, or against Islamic values, school values, community standards, or Malaysian law.

IAA may also reject any sponsorship or donation that may damage the reputation, image, integrity, or public trust of the association, the school, alumni, students, parents, or related stakeholders.

5. Approval of Sponsorships and Donations

All sponsorships and donations are subject to review and approval by IAA.

Submission of sponsorship interest, donation, proposal, payment, goods, or services does not automatically guarantee acceptance unless written confirmation has been issued by IAA.

IAA reserves the right to request additional information before accepting a sponsorship or donation, including company background, donor details, sponsorship purpose, source of funds, branding materials, promotional content, or product details.

IAA also reserves the right to refuse or return any contribution where the source, purpose, or conditions attached to the contribution are unclear, inappropriate, or inconsistent with IAA's objectives.

6. Use of Sponsor or Donor Name, Logo, and Branding

Sponsors may only use the name, logo, or branding of IAA with prior written approval.

Similarly, IAA may use the sponsor's or donor's name, logo, or branding for acknowledgement, promotional, event, reporting, or appreciation purposes, subject to the arrangement agreed between both parties.

All sponsor logos, advertisements, banners, posters, social media materials, or promotional content must be reviewed and approved by IAA before publication or display.

IAA reserves the right to remove, reject, or amend any sponsor or donor branding that is inappropriate, inaccurate, misleading, excessive, or inconsistent with the association's values and event requirements.

7. Donor Acknowledgement

Donations may be made without expectation of branding, publicity, commercial benefit, or promotional acknowledgement.

IAA may acknowledge donors through official letters, receipts, certificates, social media posts, event materials, announcements, or other appropriate channels, depending on the nature of the donation and at the discretion of IAA.

Any public acknowledgement of donors shall be subject to IAA's approval and may also consider the donor's request for privacy or anonymity.

Donors who wish to remain anonymous must inform IAA in writing before the acknowledgement or publication of donor-related information.

8. Sponsor Benefits and Publicity

IAA may acknowledge sponsors through selected channels such as event posters, banners, social media posts, websites, announcements, certificates, appreciation posts, event backdrops, or event materials, depending on the sponsorship package or agreement.

The type, size, frequency, and placement of sponsor acknowledgement shall be determined by IAA and may vary depending on the sponsorship tier, event format, available space, and suitability.

IAA does not guarantee specific commercial returns, sales, leads, public response, exposure, engagement, or business outcomes from any sponsorship arrangement.

9. Sponsor and Donor Conduct

Sponsors, donors, contributors, and their representatives are expected to conduct themselves professionally and respectfully throughout the sponsorship or donation period and during any IAA-related event or activity.

Sponsors and donors must not engage in any behaviour that may disrupt the event, pressure participants, misrepresent IAA, or create discomfort among students, parents, alumni, staff, guests, volunteers, or the public.

IAA reserves the right to restrict, remove, or refuse any sponsor, donor, contributor, or representative from an event if their conduct is deemed inappropriate, unsafe, disrespectful, or harmful to the reputation of IAA.

10. Financial Contributions, Goods, and Services

Sponsorships and donations may be provided in the form of cash, goods, services, vouchers, equipment, facilities, professional support, promotional support, or other forms approved by IAA.

All monetary contributions shall be recorded by IAA for internal reporting and accountability purposes.

Where applicable, sponsors and donors may request acknowledgement letters, receipts, confirmation letters, or sponsorship documentation, subject to IAA's administrative process and available records.

Unless otherwise agreed in writing, sponsorships and donations are generally non-refundable once accepted and allocated for event, programme, welfare, or operational purposes.

11. Use and Allocation of Contributions

IAA shall use sponsorships, donations, and contributions according to the approved purpose, event, programme, or general objectives of the association.

Where a contribution is given for a specific event or purpose, IAA will make reasonable efforts to apply the contribution accordingly.

If the original event, programme, or purpose is cancelled, postponed, changed, or no longer practical, IAA reserves the right to reallocate the contribution to another suitable association activity, welfare initiative, community programme, educational support, or approved purpose.

12. No Ownership or Control

Sponsorship, donation, or contribution does not give the sponsor, donor, or contributor ownership, control, voting rights, management authority, or decision-making power over IAA, its events, programmes, committees, members, funds, or operations.

IAA retains full discretion over event planning, programme structure, participant management, publicity, fund allocation, and use of sponsorship or donation contributions.

13. No Political, Religious, or Commercial Misrepresentation

Sponsors and donors must not use their sponsorship or donation to imply that IAA endorses a political party, political campaign, commercial product, personal agenda, or any external movement unless expressly approved in writing by IAA.

Any use of IAA's name, logo, event, platform, or association identity must not mislead the public or create the impression of endorsement beyond the approved sponsorship or donation arrangement.

14. Conflict of Interest

Sponsors, donors, and contributors must declare any actual or potential conflict of interest involving IAA committee members, event organisers, vendors, suppliers, or related parties.

IAA may review, limit, reject, or terminate any sponsorship or donation arrangement where a conflict of interest may affect transparency, fairness, accountability, or the reputation of the association.

15. Termination, Rejection, or Withdrawal

IAA reserves the right to reject, terminate, suspend, or withdraw any sponsorship or donation arrangement if:

  1. The sponsor, donor, or contributor breaches these Terms and Conditions;
  2. False, misleading, or incomplete information is provided;
  3. The sponsor's or donor's conduct, branding, or activity damages the reputation of IAA;
  4. The sponsor, donor, or contributor is involved in activities that are unlawful, unethical, offensive, or unsuitable;
  5. The sponsorship or donation conflicts with IAA's values, rules, objectives, or legal obligations;
  6. The contribution is found to come from an inappropriate or questionable source;
  7. Continuing the arrangement may create reputational, legal, financial, or operational risk to IAA.

In such cases, IAA may remove sponsor or donor branding, cancel publicity benefits, refuse participation, return the contribution where appropriate, or take any reasonable action necessary to protect the association and its stakeholders.

16. Limitation of Liability

IAA shall not be liable for any loss, damage, claim, business interruption, reputational issue, commercial expectation, or indirect consequence arising from the sponsorship or donation arrangement, unless caused by proven misconduct or negligence by IAA.

Sponsors and donors are responsible for ensuring that their products, services, materials, staff, representatives, and promotional activities comply with applicable laws, safety requirements, and ethical standards.

17. Privacy and Personal Information

IAA may collect and keep relevant sponsor or donor information for administrative, communication, reporting, acknowledgement, and record-keeping purposes.

IAA shall take reasonable steps to protect such information and shall not publicly disclose private donor or sponsor details unless required for acknowledgement, reporting, legal compliance, or with the relevant party's consent.

18. Amendments

IAA reserves the right to amend, update, or revise these Sponsorship and Donation Terms and Conditions from time to time.

Any major changes affecting an approved sponsorship or donation may be communicated to the relevant sponsor or donor where necessary.

19. Acceptance

By submitting a sponsorship proposal, making a donation, providing sponsorship support, contributing goods or services, or participating as a sponsor or donor in any IAA-related activity, the sponsor, donor, or contributor is deemed to have read, understood, and agreed to these Sponsorship and Donation Terms and Conditions.
