Shop Terms & Conditions

These terms include the purchase, payment, collection, return, exchange, and refund policy for IAA shop orders.

Pengambilan Sendiri / Self-Collection

Lokasi, tarikh dan waktu pengambilan akan dikemas kini kemudian. Arahan khusus akan dipaparkan dalam notis "Sedia untuk Diambil" selepas bayaran disahkan. Pembeli hendaklah menunjukkan nombor pesanan dan mengikuti arahan dalam notis tersebut.

The collection location, date and time will be updated later. Specific instructions will be provided in the "Ready for Pickup" notice after payment verification. Buyers must present their order number and follow the instructions in that notice.

This policy is intended for IAA shop administration and buyer clarity. It should be reviewed by the committee or legal adviser if IAA needs a formal legally reviewed policy.

1. Scope

These Shop Terms and Conditions apply to purchases made through the IISSA Alumni Association (IAA) shop, including merchandise, apparel, event-related items, preorder items, and any other products listed in the portal shop.

Before submitting an order, the buyer must confirm that they have read and agree to these Shop Terms and Conditions. The terms available at checkout form part of the order.

2. Product Information and Availability

IAA makes reasonable efforts to display product details, pricing, sizes, colours, images, and availability accurately. Product images are for reference and may vary slightly from the actual item due to production, screen display, lighting, or supplier differences.

Stock is subject to availability. IAA may cancel, reject, or adjust an order if an item is unavailable, incorrectly priced, duplicated, or affected by supplier or production issues.

3. Orders and Payment

Orders are created through the portal and will normally remain pending until payment proof is submitted and verified by the treasurer or authorised IAA administrator.

Payment must be made using the payment methods accepted by IAA at the time of checkout. Buyers must upload clear and accurate payment proof, including reference details where applicable.

IAA may reject payment proof that is unclear, incomplete, duplicated, incorrect, suspicious, or does not match the order amount.

4. Collection, Delivery, and Fulfilment

Products are assigned one of three fulfilment profiles: collection only, RM10 flat-rate delivery only, or both collection and RM10 delivery. The RM10 charge is applied once per compatible order regardless of eligible quantity. Products without a shared fulfilment method must be ordered separately.

The RM10 charge covers delivery, packaging, handling, and order administration. Actual costs may be lower or higher; any surplus supports IAA operations and association development.

Collection and delivery timelines are estimates only. Delays may occur due to preorder production, supplier timelines, stock availability, public holidays, courier issues, event schedules, or circumstances outside IAA's control.

Buyers are responsible for providing accurate contact, delivery, and collection information. IAA is not responsible for failed delivery or delayed collection caused by incorrect or incomplete information provided by the buyer.

5. Return Policy

Buyers are requested to notify IAA within 7 calendar days after receiving or collecting the item. Failure to notify IAA within this period does not automatically remove any rights or remedies that cannot lawfully be excluded.

Returns may be accepted only if the item is defective, damaged before receipt, materially different from the confirmed order, or supplied in the wrong size, colour, quantity, or product due to IAA or supplier error.

Returned items must be unused, unwashed, unaltered, and returned with original packaging, tags, labels, accessories, or proof of purchase where applicable.

The following are generally not eligible for return:

  1. Change of mind after payment or collection;
  2. Wrong size selected by the buyer, unless exchange stock is available and approved by IAA;
  3. Normal size variation, colour variation, or minor production differences;
  4. Damage caused by misuse, washing, alteration, accident, poor handling, or normal wear and tear;
  5. Items marked as clearance, final sale, personalised, customised, or event-limited, unless defective or wrongly supplied.

IAA may request photos, videos, order details, payment proof, and the physical item before approving any return.

6. Exchange Policy

Where appropriate, IAA may offer an exchange instead of a refund, especially for wrong size, wrong item, defective item, or stock-related issues.

Exchanges are subject to stock availability. If the requested replacement is unavailable, IAA may offer an alternative item, future collection arrangement, credit, or refund where appropriate.

Buyers may be responsible for any additional delivery, courier, or handling cost where the exchange is requested for buyer preference rather than IAA or supplier error.

If IAA supplies a size or item different from the confirmed order, IAA will bear the reasonable exchange cost. Change-of-mind size exchanges remain subject to available stock.

7. Refund Policy

Refund requests are subject to verification and assessment by IAA. Nothing in these terms limits any refund, replacement, repair, or other remedy available to the buyer under applicable Malaysian law.

A refund may be approved if payment was made for an item that cannot be supplied, the order is cancelled by IAA, the item is defective and cannot reasonably be replaced, or a duplicate or excess payment is verified.

Approved refunds will normally be processed to the buyer's nominated bank account or another method approved by IAA. Processing time may vary depending on verification, treasurer availability, bank processing, and administrative schedule.

Where a refund results from IAA's cancellation, inability to supply, defective goods, or an error attributable to IAA or its supplier, the buyer will receive the amount legally refundable without deduction for IAA's internal administrative costs. Delivery or other costs may only be deducted where clearly disclosed, actually incurred, and lawfully chargeable.

8. Preorder and Event-Limited Items

Preorder and event-limited items are produced or reserved based on demand, supplier availability, event requirements, or confirmed order quantities.

Preorder payments are generally non-refundable for change-of-mind requests after the order has been submitted to the supplier or production has commenced. This does not affect the buyer's rights where the item cannot be supplied, is defective, is wrongly supplied, materially differs from its description, or where a remedy is required under applicable law.

Estimated preorder fulfilment dates may change due to supplier, production, shipping, printing, embroidery, or event schedule changes.

9. Damaged, Defective, or Wrong Items

Buyers should inspect items as soon as possible after collection or delivery.

If an item is damaged, defective, or wrongly supplied, the buyer is requested to contact IAA within 7 calendar days with the order number, product details, photos or videos, and a short explanation of the issue. A later report does not automatically remove rights or remedies that cannot lawfully be excluded.

IAA will review the request and may offer repair, replacement, exchange, refund, or another reasonable solution depending on the item and circumstances.

10. Cancellation

Buyers may request cancellation before payment verification or before the order is processed. IAA may approve or reject cancellation depending on the order status, product type, supplier commitment, and whether costs have already been incurred.

IAA may cancel an order if payment is not received, payment proof is rejected, the item is unavailable, the order appears suspicious, or the order conflicts with association policies or operational requirements.

11. Limitation of Liability

To the extent permitted by law, IAA's liability relating to an affected order will ordinarily be limited to the remedies available for that order. Nothing in these terms excludes or restricts liability that cannot lawfully be excluded or restricted, including applicable statutory consumer rights.

IAA shall not be liable for indirect losses, loss of opportunity, inconvenience, courier delay, event postponement, supplier delay, or issues outside IAA's reasonable control.

12. Privacy

IAA processes buyer and order information in accordance with its Privacy Notice. Information may be used to administer orders, verify payments, arrange collection or delivery, provide support, meet record-keeping requirements, and comply with applicable law.

Buyers should review the Privacy Notice for details about the information collected, its use and disclosure, retention, security, and their access or correction rights.

13. Governing Law and Consumer Rights

These Shop Terms and Conditions are governed by the laws of Malaysia. Nothing in these terms excludes, restricts, or modifies any consumer guarantee, right, or remedy that cannot lawfully be excluded, restricted, or modified under the Consumer Protection Act 1999 or any other applicable Malaysian law.

Any dispute should first be submitted to IAA through its official contact channel for internal resolution. If the matter cannot be resolved, either party may pursue any remedy available under Malaysian law, including an eligible claim before the Tribunal for Consumer Claims Malaysia.

14. Amendments and Contact

IAA may amend these Shop Terms and Conditions, Refund Policy, and Return Policy from time to time. Updated terms will apply to orders placed on or after the effective date shown on the portal. Unless required by law, amendments will not retrospectively change the material terms of an order already accepted and paid for.
